Our client in the Non-Profit space is seeking a Senior Administrative Assistant to join their team fully onsite on a 2-month contract with potential to extend. The Senior Administrative Assistant will provide high-level administrative support to the CEO and the Executive Leadership Team. This role involves managing schedules, organizing travel, drafting correspondence, overseeing office management, and providing overall administrative support to ensure smooth operations of the Executive Office.

Key Responsibilities:

  • Manage the CEO’s calendar, including scheduling meetings and travel arrangements.
    Draft and proofread CEO correspondence, reports, and presentations.
  • Coordinate logistics for CEO's domestic and international travel, including flights, visas, accommodation, and insurance.
  • Ensure technology for virtual and in-person meetings is set up and functioning.
  • Assist in drafting agendas, taking minutes, and monitoring action items for ELT meetings.
  • Coordinate travel logistics for ELT members, including booking flights, accommodations, and transportation.
  • Process and verify expense and travel claims for the CEO and ELT.
  • Coordinate logistics for team events.
  • Manage office supplies, cleanliness, and overall organization of the office space.
  • Maintain electronic files, assist with record-keeping, and conduct research as needed.
  • Maintain CEO’s professional memberships and related information.
  •  

Requirements:

  • Bachelor's degree or diploma in a related field, or equivalent work experience.
  • 3-5 years experience in a senior administrative or executive assistant role supporting C-suite executives.
  • Strong organizational, time management, and communication skills. Proficiency in Microsoft Office, SharePoint, and Teams.
  • Fluency in French (written and oral) preferred.
  • Ability to work independently, prioritize tasks, and solve problems creatively. Experience in the non-profit sector or international development is an asset.
