Our non-profit client is seeking a reliable and professional On-Call Receptionist/Administrative Assistant to support our team as needed.

This is a flexible, on-call position ideal for someone with strong communication and organizational skills who is available to work on short notice based on operational needs.

The successful candidate will provide front desk reception and general administrative support, ensuring a welcoming environment and smooth day-to-day operations.
Hours of work are Monday-Friday, 8:30am-4:30pm.

Responsibilities

  • Provides administrative services including front desk support, visitor management, walk-in donation support, courier and delivery management support.
  • Clerical support including preparing of documents, sorting and distributing mail.
  • Monitoring and ordering supplies and stationery and verifying orders.
  • Reconciles office invoices, corporate credit card and valued received packages.
  • Accepts walk-in donations and collects donations at satellite offices.
  • Answers phone line and re-directs inquiries.
  • Assists with the onboarding and offboarding of staff.
  • Administrative support to the Foundation’s digitalization projects.
  • Works with staff and external vendors to address various administrative inquiries and issues, proactively provides follow-up and ensures resolutions are provided in a timely manner.
  • Coordinates facilities, maintenance and shredding requests for office sites.
  • Proactively triages and follows up on office requests, usage and deficiencies.
  • Provides recommendations to improve administrative services and procedures.
  • Provides administrative back-up support for the Operations during team.
  • Other duties and special projects as assigned by manager which are consistent with job classification.

 

Requirements

  • Post-secondary education or equivalent experience
  • Three to five years of administrative experience in a fast-paced, results oriented environment
  • Exemplary attention to detail, accuracy and eagerness to learn
  • Ability to meet daily deadlines while juggling multiple priorities and frequent interruptions
  • Strong organizational, multi-tasking and time management skills\
  • Possess a professional and welcoming presence with evidence of sound judgement, tact and diplomacy
  • Travel between site offices located in Toronto
  • Computer literacy: Proficient with Microsoft Office Suite (Word, Excel and PowerPoint), project management tools, and Adobe Acrobat
