Our client working in the healthcare industry is hiring for an Administrative Assistant to join their team on a full time, permanent basis! This is an exciting opportunity working full time onsite directly supporting a specialized MD. This is a full time and permanent role.

Key Responsibilities:

  1. Patient Coordination:

    • Manage patient consults, surgeries, and follow-up appointments.
    • Maintain waitlists, coordinate referrals, and ensure accurate paperwork completion.
    • Communicate professionally with patients about instructions, updates, and concerns.
  2. Surgery Planning & Coordination:

    • Develop surgery schedules in collaboration with the surgeon and medical staff.
    • Handle pre-surgical requirements and communicate details to patients.
    • Order medical devices and coordinate with hospitals and clinics as needed.
  3. Office Administration:

    • Oversee daily office operations, including phone calls, emails, and filing.
    • Manage the physician’s calendar and correspondence.
    • Ensure compliance with privacy laws and regulations.
  4. General Duties:

    • Support the physician and act as a liaison with patients, staff, and external contacts.
    • Complete administrative tasks such as filing, document preparation, and supply management.

Requirements:

  • Proven experience as an administrative assistant, preferably in a medical setting.
  • Fluency in French is an asset.
  • Strong organizational, communication, and problem-solving skills.
  • Experience working with EPIC or EMR systems.
  • Proficiency in MS Office and electronic medical record systems.
  • High school diploma required; a college degree is preferred.
  • 2–4 years of administrative experience in a medical setting.
