We are seeking two part-time Medical Secretaries to support our client, a large hospital with comprehensive administrative and secretarial support to the designated section heads and department. This role involves coordinating schedules, managing patient records, assisting with clinic operations, and ensuring smooth communication between physicians, patients, and other stakeholders.

Please Note: This role is an 11-week contract with possibility of extension. 

Roles and Responsibilities

  • Coordinate and schedule meetings; maintain physician calendars.
  • Manage patient intake and prepare records prior to visits.
  • Prepare examination rooms on clinic days and ensure consultation rooms are stocked with necessary equipment and supplies.
  • Input clinic billings and assist with reconciliation of outstanding billing.
  • Prepare invoicing, remittance reports, and submit monthly EDT reports to relevant authorities.
  • Schedule follow-up appointments, including post-ops, pre-ops, consults, and referrals; arrange interpreter services as necessary.
  • Coordinate pre-operative appointments and manage OR booking requests online.
  • Maintain and update patient waiting lists for surgical procedures.
  • Generate daily clinic lists and weekly calendars for physicians and lab nurses.
  • Accurately register patients with proper health card numbers into clinical information systems.
  • Review and process daily mail and faxes.
  • Answer and return telephone calls in a timely manner; address inquiries within scope of responsibility and redirect calls as appropriate.
  • Arrange diagnostic tests such as CT scans and ultrasounds as ordered by physicians.
  • Ensure consultation rooms are stocked with necessary supplies; maintain and order office stationery.
  • Perform other related administrative duties as assigned by the supervisor.

Qualifications and Skills

  • At least two years of recent secretarial experience, in a hospital environment.
  • Proficiency in EMR and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) software. 
  • Excellent customer service skills, with sensitivity in communicating with patients and families in vulnerable situations.
  • Ability to work independently, make decisions, and exercise sound judgment.
  • Professional demeanor with the ability to work both independently and collaboratively.
  • Effective verbal and written communication skills.

Education

  • Completion of a college diploma in Medical Administration, Office Administration or Business Administration.
