Position Title: Residential Property Administrator
Reports To: Property Managers
Location: Westboro
Employment Type: Full-Time, Monday to Friday 8:30am-4:30pm

Position Summary

Our client is seeking to hire a Residential Property Administrator to provide essential administrative and operational support to two Property Managers in the management of residential properties. This role ensures efficient day-to-day operations, effective tenant communication, and adherence to company policies and procedures.

Key Responsibilities

  • Assist Property Managers with daily administrative tasks, including scheduling, correspondence, and record-keeping.
  • Maintain and update tenant files, lease agreements, and property management systems.
  • Prepare and distribute notices, letters, and reports as required.
  • Respond promptly to tenant inquiries and resolve issues or escalate them to the Property Managers.
  • Coordinate tenant move-ins and move-outs, ensuring proper documentation and procedures are followed.
  • Maintain a professional and positive relationship with tenants.
  • Schedule and coordinate routine maintenance, repairs, and inspections.
  • Monitor work orders to ensure timely completion by vendors or maintenance staff.
  • Assist in tracking property budgets, rent collections, and expense reports.
  • Ensure compliance with local, state, and federal regulations, as well as company policies.
  • Assist with lease renewals, amendments, and tenant notices.
  • Maintain accurate records of property performance metrics and tenant interactions.
  • Act as a liaison between tenants, vendors, and Property Managers.
  • Support Property Managers with meetings, presentations, and follow-ups as needed.
  • Coordinate and communicate schedules, updates, and deadlines effectively.

Qualifications and Skills

  •  High school diploma or equivalent (Bachelor’s degree preferred).
  • 2+ years of administrative or property management experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficient in property management software (Yardi) and Microsoft Office Suite.
  • Detail-oriented with strong problem-solving skills.
  • Professional demeanor, customer-focused, and proactive.
  • Ability to work in an office environment and occasionally visit residential properties.
  • Flexibility to handle occasional after-hours tenant needs or emergencies.
