Property Administrator

Edmonton, AB

Role Description

An exciting opportunity has arisen to join one of QuadReal’s Property Management teams as a Property Administrator. QuadReal prides itself on helping tenants and residents achieve their goals. We strive to create a welcoming community for tenants, residents and their visitors and will help support them to achieve their sustainability goals, whether those are formal reduction targets or just living well.

Reporting to the Property Manager the Property Administrator will help provide that service through administration support for all aspects of day-to-day activities for the building.

Responsibilities

  • Working closely with the General Manager and the Property Manager to develop strong tenant relationships and complete all administrative functions relating to property management
  • Responsible for rent collection, cheque posting and application of money to tenant accounts
  • Processing all vendor invoices (including capital and visa transactions) in Yardi
  • Prepare & distribute letters to tenants including welcome packages, rental charges, arrears etc.
  • Liaise with tenants and accounting regarding accounts receivable/payable matters as required
  • Collect and record insurance certificates from tenants
  • Maintain and update security deposit reports
  • Coordinate tenant move-ins and move-outs
  • Assist with the organization of all building/tenant appreciation events & functions
  • Draft and distribute tenant memorandums
  • Monitor and track vacant unit accounts
  • Read and understand leases to ensure accurate information is received and maintained
  • Prepare contracts for capital projects and contracted work
  • Record and update tenant information, including phone numbers and emergency contact names
  • Maintain information in property directories
  • Assist assigned property manager directly on various tasks, including preparation of monthly reports to clients
  • Work with the building operations team & contractors as required or directed
  • Embrace and pro-actively support QuadReal’s culture of environmental sustainability, and corporate and social responsibility
  • Other duties as assigned.

Experience and Qualifications:

  • High school diploma supplemented with some post-secondary in business, real estate, or accounting
  • 4+ years of experience in an administrative role, experience in property management or real estate an asset
  • Proficient with principles of accounting ideally with 2 years’ accounts receivable/payable hands-on experience
  • Proficient in Microsoft Office
  • Excellent written and oral communication skills
  • Ability to develop and sustain cooperative working relationships
  • Professional phone manner; mature and self-motivated team player with good conflict-resolution skills
  • A self starter, able to allocate one’s time effectively and manage tight deadlines
  • Able to work under pressure and achieve quality results
  • Able to handle multiple demands and competing priorities, and adapt to new ideas and constant change
  • An eagerness to share ideas and find opportunities to improve our property management services
  • Results oriented, detail oriented and accurate
  • A dedication to providing exceptional service, every day
  • Ability to perform with exceptional integrity, always striving to do the right thing and help to create an environment built on trust, honesty, and respect.
