Your Opportunity

Stantec is currently looking for a Project Controls Specialist to be part of our team on a permanent part-time position. Reporting to the Project Controller Lead, the Project Controls Specialist will provide Project Managers with viable information for effective management and cost control of the various projects and will be accountable for implementing robust processes, checks and balances to determine and control budgets, actual costs and estimate at completion, as well as contract documentation and administration for clients and subconsultants.

The Project Controls Specialist must demonstrate an aptitude for efficiency, problem solving, and resourcefulness.

Your Key Responsibilities

To perform this role successfully, the candidate will be responsible for but not limited to the following:

  • Support the Project Controller Lead with the delivery of contract management and financial management

  • Provide project managers with viable information for effective management and cost control

  • Support the successful delivery of project financials for our clients on contracts with multiple projects

  • Provide support for the development of the detailed work breakdown structure (WBS) and cost breakdown structure (CBS) for new projects.

  • Support the preparation of monthly cost control and project progress reports, cost variance analysis reports, change logs, and dashboards, based on established standardized criteria in terms of content and presentation (budgets, commitments, changes, variances, performances), and according to the approved work breakdown structure.

  • Ensure regular communication with project team and other stakeholders regarding program Key Performance Indicators (KPIs), current budget, actual cost and forecast to complete.

  • Control and check the program invoices and follow up on approval and payment. Work with the accounting department to ensure alignment/balance with financial statements and other financial reports.

  • Issue Purchase Orders and Subconsultant agreements and change orders and maintain an agreement and change log.

  • Review and process all Subconsultant Invoices and assist Consultants with any compliance issues

  • Work with the project teams on contract budgets, progress payments, invoicing processes, contract amendments and closeout including budget set up, tracking of budget/contract balances, issuing and tracking client work orders from creation to approval and budget set up, and invoicing.

  • Provide the technical support to project managers to ensure the project cost control systems and processes are maintained to standards.

  • Ensure compliance with all Federal, Provincial, and local regulations, particularly applicable funding agreement requirements.

  • Other related duties assigned.

Qualifications

Your Capabilities and Credentials

  • In-depth knowledge of project finance and contract administration obtained through experience and education.

  • Strong computer skills: Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams, SharePoint and Power BI)

  • Strong communication and interpersonal skills are essential.

  • Strong analytical skills to review cost control information and ensure accuracy as well as identify issues, concerns, and potential mitigations.

  • Excellent time management skills, detail oriented and resourceful. Must be able to successfully work both collaboratively and independently.

  • Strong communication and interpersonal skills with aptitude in building relationships and credibility with professionals at any level in the organization.

  • Demonstrate ability to handle multiple priorities and assignments

  • Must be able to successfully work both collaboratively and independently

Education and Experience

  • 3-5 years of experience in project cost control and contract administration (Project Management experience)

  • University Degree in related field

Salary Range(s):

  • Lower Mainland $60,200/BC Other Areas $56,800 - Lower Mainland $84,300/BC Other Areas $79,500 Min/Max Pay Range for postings located in BC (Lower Mainland includes Vancouver & Burnaby)

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
