Altis Recruitment is seeking an Administrative Assistant to support 4 Physicians. With responsibilities spanning across calendar management, email coordination, documentation, and additional administrative tasks, you will support the physicians with a range of daily responsibilities.  

Roles and Responsibilities

  • Manage complex schedules, meetings, and calendars for multiple stakeholders, ensuring efficient coordination and time management.
  • Handle logistics for committee meetings and clinical rounds, ensuring all arrangements are executed smoothly.
  • Coordinate travel plans, including air travel, accommodations, ground transportation, and event registrations.
  • Prepare, review, and distribute various documents, letters, and reports; perform data analysis as needed.
  • Maintain accurate records, including meeting minutes, files, and databases, while designing and producing visual materials such as posters and presentations.

Qualifications and Skills

  • Completion of post-secondary education or an equivalent combination of administrative experience and related field expertise.
  • Experience within a hospital is a preferred asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint.
  • Exceptional organizational, problem-solving, and communication skills, both written and verbal.
  • Strong critical thinking and interpersonal abilities.
  • Diligence in task organization, planning, and completion.
  • Capacity to work independently with a high degree of initiative.
  • Keen attention to detail with the ability to manage multiple deadlines in a dynamic environment.

Education

  • Completion of post-secondary education or an equivalent combination of administrative experience and related field expertise.

Nice-to-Haves

  • Experience in a hospital setting.
