Our client in the non-profit space is seeking a dedicated and organized  Admin/Clerical Support professional to assist with administrative tasks and event coordination for a six-month maternity leave coverage. As the Administrative Support, you will play a key role in supporting their CEO, Board of Directors, and the Communications team with a variety of administrative duties, including board coordination, event logistics, and member support. This is a fully remote position that offers flexibility while requiring strong organizational and communication skills.

Location: Fully Remote within Canada
Start Date: Mid January 2025 (6-Month Term)

Responsibilities:

  • Provide administrative support to the CEO and Board of Directors, including preparing meeting agendas, materials, and meeting minutes.
  • Coordinate board meetings and maintain records of board activities and decisions.
  • Maintain the membership database (CRM or association management software) and ensure it is up-to-date with member contact information.
  • Organize logistics for both in-person and virtual events, including managing event registrations and coordinating with third-party service providers (e.g., translation services).
  • Assist the Director of Communications with day-to-day tasks, including the creation and distribution of newsletters and campaigns.
  • Assist with the maintenance of web pages on the IPIC website, ensuring consistency and accessibility.
  • Coordinate with external translation services as required (via a central portal).

Qualifications:

  • Related dministrative or clerical experience 
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with membership management software, CRM, or association management software.
  • Experience with event coordination, both virtual and in-person.
  • Strong attention to detail, particularly when taking minutes and coordinating events.
  • Ability to manage multiple tasks simultaneously and work independently.
