We are seeking a Purchasing Analyst to join our client’s team within the HVAC industry. This role is essential in ensuring the efficient, timely, and accurate processing of purchased goods and services. The Purchasing Analyst will collaborate with various teams to support vendor management and purchasing activities, while delivering exceptional customer service to both external suppliers and internal stakeholders.

Position Responsibilities:

  • Review vendor statements and perform reconciliations, including month-end and quarter-end reconciliations/accruals for the top 15 vendors.
  • Manage reconciliations for top vendors and secure payment approvals from internal stakeholders.
  • Handle over 20 invoice database queues daily.
  • Source code purchase order invoices and credits to ensure accurate charges and credits to the appropriate branches and business areas.
  • Collaborate with internal and external stakeholders to resolve discrepancies.
  • Investigate payment status inquiries and nonpayment issues for all vendors, working with them and operations to resolve disputes.
  • Review financial adjustments on vendor statements and recommend corrective actions.
  • Identify process gaps within the invoicing and payment process, collaborating with stakeholders to implement improvements.
  • Generate reports for Early Payment Discounts (EPD) and follow up for branch approval to maximize savings.
  • Create reports on EPD progress and invoice payment turnaround time for executive reporting.
  • Serve as the primary contact for suppliers regarding invoicing or payment-related inquiries.

Position Qualifications:

  • 1-3 years of experience in supply chain, vendor management, purchasing, or accounts payable.
  • Current enrollment in or completion of post-secondary education in Logistics, Supply Chain, Business, or Finance is preferred.
  • Strong understanding of the P2P cycle.
  • Previous SAP experience is a must. 
  • Excellent interpersonal and relationship-building skills, with the ability to effectively engage stakeholders.
  • Highly organized with a keen attention to detail.
  • Strong analytical, troubleshooting, and problem-solving abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, SharePoint).
  • Prior experience with P2P, ECM, workflow, and financial systems is preferred.
  • Ability to perform key analytics to monitor purchasing trends.
  • Commitment to maintaining a strong control environment by ensuring departmental internal controls are upheld and regularly evaluated.
