Our client working in the Mental Health industry is hiring for an Administrative Assistant to support their team on a 6 month contract! This is an exciting opportunity working in a hybrid working model, 3 days onsite and 2 days remotely. 

The successful candidate will report into the Program Manager and support daily operations. This role is key to ensuring seamless coordination of administrative tasks and efficient program operations.


Key Responsibilities

  • Front Desk Coverage: Provide rotational front desk support, warmly welcoming clients and visitors.
  • Liaison Role: Act as a bridge between the Program Manager and staff, facilitating effective communication and task coordination.
  • Scheduling Support: Manage the Manager’s calendar and assist with staff scheduling.
  • Payroll & HR Administration: Assist with electronic timesheets, payroll processes, and HR-related tasks as needed.
  • Financial Processes: Handle purchase orders, quote sheets, invoice reconciliation, and follow up with Finance and Accounts Payables.
  • Expense Management: Oversee monthly expense submissions for staff, ensuring compliance with policies.
  • Meeting Coordination: Organize meetings and training sessions, including booking spaces, preparing agendas, recording minutes, and tracking action items.
  • General Administrative Support: Assist with special projects and other duties as assigned by the Manager.

Qualifications

  • Experience: Minimum of 2 years in an administrative role; experience in scheduling and payroll software is a strong asset.
  • Skills:
    • Proficiency in MS Office Suite, particularly Outlook for scheduling.
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Attention to detail, especially for financial and HR processes.
  • Assets:
    • Prior reception or front desk experience.
    • Familiarity with crisis programs or non-profit organizations.
