Our client in the non-profit space is hiring a Program Officer to join there team in Ottawa on a 6-month contract with potential to extend. The Program Officer plays a key role in coordinating and administering the Awards to Scholarly Publications Program (ASPP). Reporting to the Programs Lead, this position is responsible for processing applications, managing the review process, maintaining databases, ensuring accurate record-keeping, and liaising with stakeholders. Additionally, the Program Officer supports project progress reporting and helps ensure smooth operations throughout the program.

Location: Ottawa (Hybrid - 2 days per week)

Responsibilities:

  • Manage the processing of new applications, ensuring completeness, eligibility, and compliance with conflict of interest guidelines.
  • Organize and file application documents accurately according to specified protocols.
  • Coordinate the distribution of applications to merit reviewers via grant management software, managing reviewer assignments and conflicts of interest.
  • Follow up with reviewers to ensure timely assessments and maintain communication throughout the review process.
  • Prepare and distribute monthly status updates to stakeholders.
  • Provide support to applicants, helping them navigate the application process and grant management software.
  • Oversee committee renewal, identifying new potential members, ensuring diversity and expertise, and facilitating member onboarding.
  • Coordinate the disbursement of grant payments, ensuring all required documentation is received, preparing payment requests, and ensuring timely grant distribution.
  • Liaise with scholarly associations, publishers, and program committees to ensure adequate program involvement and peer reviewer participation.
  • Communicate program updates, including information on Open Access (OA) and Equity, Diversity, and Decolonization (EDID), to publishers and stakeholders.

Qualificatons:

  • Proficient in both English and French, with excellent written and verbal communication skills.
  • Strong attention to detail, excellent organizational and time management skills.
  • Ability to work collaboratively with multiple stakeholders and team members.
  • Initiative, creativity, and a proactive approach to problem-solving.
  • Ability to clearly articulate ideas both in writing and orally.
  • A strong sense of ownership for tasks, with a commitment to achieving both personal and team goals.
  • Ability to work under pressure, meet competing deadlines, and adjust priorities as needed.
  • Respect for diverse perspectives and an inclusive approach to teamwork.
  • Comfortable working with a variety of technologies and software.
